Archiving Copies of Messages

It is possible to configure the Email Gateway to archive messages detected by a content rule. Messages can be copied and sent to a server, or multiple servers, if required. You can also relay copies of messages to an email address, enabling you to archive or store your messages in a separate email account.

To send copies of messages to a relay server, you need to set up a relay server with third party archiving software. You can add the server's hostname to the list of relay servers from the Manage Disposal Actions using the following steps:

To configure a relay server:

  1. From the Policy Center Home page, under Policy References, click Disposal Actions to display the Manage Disposal Actions page.
  2. On the Manage Disposal Actions page, click the Relay Servers tab to access the Relay disposal actions.
  3. Click New, and enter the server and port details in the fields that appear.
  4. Click Add to add the server to the list.

To archive copies of all messages delivered on a route:

To archive copies of all messages on a policy route:

  1. From the Manage Content Rules page, click New and create either an Archive to Server rule or a Send a Copy (BCC) content rule as required.
  2. Modify the new content rule using the "What To Do?" actions. See Send a Copy Actions for more information.
  3. Add the Archive to Server rule or Send a Copy (BCC) rule as the last rule on the policy route. This ensures that messages that are not detected by any other rules on the policy route are archived.

To send copies of detected messages to a relay server:

To archive copies of detected messages on a policy route:

  1. From the Manage Content Rules page, select the content rule that detects the messages that you want to archive.
  2. Click Edit to modify the content rule.
  3. Apply a "Send a Copy (Relay Server)" action in the "What do you want to do?" area. See Send a Copy Actions for more information.

To send copies of detected messages to an email address:

In addition to the "Send a Copy (Relay Server)" action, it is also possible to send copies of messages to an email address.

  1. From the Manage Content Rules page, select the content rule that detects the messages that you want to send.
  2. Click Edit to modify the content rule.
  3. Apply a "Send a Copy (BCC)" action in the "What do you want to do?" area. See Send a Copy Actions for more information.

 

You can also use one of two 'Send a Copy' type content rule templates: Archive to Server or Send a Copy (BCC). These are all-traffic rules which deliver all messages and perform the secondary action of sending copies of messages to a selected relay server or email address.
