Notifying Auditor on Release

The Notify Auditor on Release feature enables an email message to be sent to an auditor role that contains information about messages that have been self-released by an end user.

You can configure auditor notifications on an inbound or outbound message area and define the notification message for that message area when a message is released. This can be useful when, for example, someone sends a confidential document to a partner. If the Clearswift Gateway is configured to quarantine the message and inform the sender that the message has been held with a link to release or delete the message, the sender can follow the link and release the message. A copy of the message is sent to the email address of a previously specified auditor.

To notify auditor on release:

  1. From the Policy Center Home page, click Disposal Actions. The Manage Disposal Actions page appears.
  2. Select the Message Areas tab to display the Message Area disposal actions.
  3. Select the Message Area you wish to edit.
  4. Click the Edit button adjacent to the "n Items" heading. The Edit Message Area dialog appears.
  5. Select the Notify auditor tab to display the Notify Auditor page.
  6. Click the Notify auditor on release check box.
  7. In the From drop-down box, specify an email address from which the notification message will appear to have been sent. Select the Clearswift Gateway administrator or server email address, or select This email address and specify an email address in the adjacent box.
  8. In the Notify drop-down box, specify an email address to which the notification message will be sent. Select the Clearswift Gateway administrator, the sender's manager or select This email address and specify an email address in the adjacent box. To specify up to five email addresses, separate them with commas.
  9. In the Subject box, type a subject line for the notification message.
  10. In the Message Body box, type the annotation text you wish to appear in the body of the message. You can include the %RELEASEDBY%, %POLICYVIOLATED%, %SUBJECT%, %RCPTS% and %DATE% tokens. Clearswift Gateway replaces these with message properties, or responses made by the Policy Engine. For more information, see Using Tokens.
  11. Click Update.
 

If you wish to notify the sender's manager, the Manager Relationships must be configured. If the option is selected without configuring the Manager Relationships, the auditor notification will not be sent.

The message sent to the auditor is a copy of either the original message or the modified message, as specified at the point of release. See Analyze and manage held messages for more information.

When you have finished modifying your content security policy you must apply the configuration for any changes to take effect. If the Gateways are configured as a group, any group changes should be applied to each Gateway.
