Annotate the Message action

The Annotate the Message action appends a portion of text or HTML to the body of a message. For example, you might wish to add a disclaimer or copyright information to certain messages. You can add a selected annotation to the start or end of the message body, and prevent duplication of message annotations that might be generated by other content rules. This action can be added to all content rules except:

Apply the action to a content rule

  1. Inside the What To Do? area of the content rule, click New next to the What Else to Do? action.
    The Add a What to Do Action dialog appears.
  2. Select the action from the list.
    The action is automatically added to the What Else To Do? area.
  3. Close the Add a What to Do Action dialog.

Configure the action

  1. Beside the Annotate the Message action in the What Else To Do? area, click Click here to change these settings.
  2. Specify the Annotation to use from the drop-down menu:

    • (Create a new annotation) - when the action is saved, a new annotation is created.
    • Annotation - select a previously configured annotation from the list.
  3. Choose whether the annotation is inserted at the Start of the message body or End of the message body.
  4. To prevent the potential duplication of annotations, specify what should happen if already present:

    • Do not insert annotation
    • Insert annotation
  5. Click Save.
  6. If you selected (Create a new annotation) in step 2, click 'Annotation for [content rule]' in the Annotate the Message summary.
    This directs you to annotation formatting page. For more information, refer to Message Annotations.

    To edit a previously created Annotate the Message action, follow the steps in Configure the action to change the current settings.

Remove the action from a content rule

Inside the What To Do? area, click next to the What Else to Do? action you want to remove and confirm the deletion.
