View and manage reports

You can run a report manually, at any time, to view the current results. The Reports Center displays your report graphically and enables you to explore the results in more detail. You can also export or email the report as a PDF file, or save the data as a CSV.

How do I...

• View a Report?

  1. Navigate to the Report Center Home page.

  2. Locate the report from the list of available reports.

     If you know the name of the report, use the Search area to filter the list to match your search. Alternatively, use the or icons to filter each report category.

  3. Select the report. A description is displayed in the panel on the right.
  4. Click View (or double-click the report name). The report is displayed.
• Examine report results?

  When you view a report, the report results are displayed in a new pane in your web browser. Report data is presented in the following format:

  Summary Area

  The summary area displays the search criteria used to generate the report, including the date range selected.

  The Date Range displays the start and end dates of the selected period. For example, if you selected This Week as a date range, the explicit dates defined by the period are also displayed.

  Report Data Area

  Report data is presented graphically.

  Reports are often displayed by message count (numerical) or message volume (memory). Select either the Msg Count or Msg Volume tab to display the data you require.

  Click the chart to change the format between bar chart, pie chart and line graph.

  Results Table

  The table displays results in rank or date order, depending on the report.

  You can explore the results by clicking entries in the results table.

  Reports might be grouped by week or month as requested. Use the Total button to view Grand Totals or Subtotals for each period.

  Why is only one recipient displayed?

  If your search criteria returned a message with more than one recipient, only the first recipient is displayed in the Recipient column. If a message has more than one recipient, the first recipient is displayed with an ellipsis. For example, someone@company.org... indicates that there are multiple recipients, whereas someone@company.org indicates a single recipient.

  To view the complete list of recipients, export the report as a CSV file.

• Explore individual records?

  Certain report types enable you to explore individual records in much more detail.

  For example, if you want to find out how many messages were intercepted because a virus was detected, you can drill-down from the summary data to display an individual message, its Sender, Recipient(s), Subject, Size and Time of arrival on the Gateway.

  • Example: How do I view a Threats report and explore the results?

    1. From the Report Center Home page, select Threats in the Available Reports section.
    2. Select the Threats report from the list of available system reports. Click View. The report is displayed. The results table displays categories and statistics about the number and size of records contained in each category. Show me.

       

    3. Click the Threat category you want to explore. For example, you may want to examine the instances which were blocked specifically because of media type.

       If there are sub-categories, you can continue to click each one, until individual records are displayed.

       The report is redisplayed in a new pane in your web browser, each time you select a category or sub-category.

  • Example: How do I view Encryption Methods with Message Details?

    1. From the Report Center Home page, select Encryption in the Available Reports section.
    2. Select the Encryption Methods with Message Details report. Click View. The report is displayed as a results table, indicating the message count and volume of encrypted messages. Show me:

       

       This report does not display a graph. Categories can count data more than once. For example, if a message has been encrypted using PGP and TLS, both categories include the record.

    3. Click the encryption Type you want to explore. For example, you may want to examine messages which have been encrypted using PGP. Each message is displayed with Sender, Recipient, Subject, Date and Size.
• Export a Report?

  You can export a report as a PDF or CSV file. You can also email a report as an attachment.

  1. Generate the report from the Report Center Home page.

  2. Click Export To and select the option you require from the drop-down menu.

     • PDF: Reproduces the report as an open PDF file.

     • CSV: Exports the report as a comma-separated values file.

     • Email: Sends the report as a PDF attachment.

       PDF files are designed to reproduce the report data concisely and efficiently. Export the report as a CSV if you want to view the full report in detail, or you want to manipulate the data.

  3. Click Go. You can then open, save or email the report (depending on the option you selected) using the dialog box displayed.
• Create a Customized Report?

  You can create a customized report (using an existing system report as a template). See Creating Customized Reports for more information.

• Modify a Report?

  To modify the date range or other parameters, select the report from the Available Reports list and click Edit.

  Only customized reports can be modified. For more information, see Modifying a Report.

• Schedule a Customized Report

  You can configure a report to run at scheduled intervals. This scheduled report can be emailed automatically to a recipient of your choice. See Scheduling a Customized Report for more information.

Tell me about...

• Summary Reporting and Detailed Reporting Data

  The Report Center provides you with the option to monitor activity on the Gateway with a number of flexible reports. In order to do this effectively, the Gateway manages Summary Data and Detailed Data separately. You can also configure the way the data is retained.

  Detailed data enables you to explore certain message data by drilling down to a detailed list. For example, in threats and Content Rules reports, you can explore the detailed information from the displayed report.

  Why don't the numbers match?

  It is possible that the statistics displayed by the report summary might not match the statistics in the detailed results. There are a number of possible reasons for this, including:

  • The data retention period for detailed reporting is shorter than the date range covered by the report.

    If the data retention period is shorter than the date range of the report, you will not be able to view the detailed information that has already expired. For example, if the Gateway is configured to retain detailed information for 7 days and summary information for 14 days, a report displays data for messages received more than 7 days ago, but the detailed information will not be available.

    You can configure the data retention period for reporting using the Tracking and Report Settings page.

  • Detailed records are not stored for rejected messages

    Messages that are rejected by the Gateway could be counted by a summary report. However, no detailed information is recorded for rejections.

    Use Message Tracking to search for rejected messages. You can select a rejection reason as your search criteria.

  • The delay between receiving and processing a message spans the beginning or end of a reporting period

    A mismatch between detailed and summary reporting data can occur if a message is received by the Gateway in one reporting period, but not processed until the next. For example, if a message is accepted at 23:59 and processed at 00:00, the summary report will count the data in the second day, whereas the detailed information will be recorded in the first day.

  • Messages split by the content security policy are counted individually by Summary Reporting

    If a message is intended for more than one recipient, it could match more than one policy route. Split messages are counted as separate, individual messages (with identical content). As a result, summary reports include multiple results for split messages, whereas the detailed report counts each message once.
