Personal Message Management
Personal Message Management (PMM) allows
your end users to manage their held messages (both incoming and outgoing)
in message areas you have enabled
for PMM. For example, you could enable the spam message area to allow
users to manage their spam email. The user can access the PMM portal and receive a regular email, the
PMM message digest, listing the messages
You can enable any message area for management through PMM. When enabling a message area you reference one or more Address Lists to determine which users have PMM access to that area.
A number of PMM log files record details of deleted and released messages. A PMM report provides information on PMM usage.
You can identify Trusted Senders using Whitelisting. Whitelisting works by quarantining messages as determined by policy, then automatically releasing from quarantine any messages for a recipient where the sender is in the recipient's whitelist. The system behaves as if the user had released the message themself from their PMM digest, with all the same consequences: tracking, auditing, spam counts.
About the PMM portal
If you are expecting a message to arrive, you can use the Personal Message Management portal to view the messages currently trapped and release them immediately without waiting for the digest message to arrive. For more information about the portal, see Portal Hints and Tips.
About the message digest
- Inbound messages to a hosted domain, where the user is the recipient
- Internal messages from a hosted domain sender, where the user is the recipient
- Outbound messages from a hosted domain, sent by the user
To view an example digest:
- From the System Center Home page, click PMM Settings.
- Click Digest Messages to display the Digest Messages page.
- Click Preview a PMM Message Digest in the task panel. A separate browser window opens to display an example digest as it would appear when opened from the user's inbox. The user clicks on the buttons to deliver individual messages or to delete all their remaining messages in a message area.
You can configure aspects of the digest format and the PMM digest delivery service, including:
- The appearance of the digest email: you can define the subject, and add your corporate logo and introductory text.
- When and how often to send out message digest emails.
- Scheduling a "partial digest" to be sent out only to users who have had additional messages held since the last digest.

The administrator can choose for the message digest to be delivered in any one of the following languages: English, Japanese, German, French, Italian, Spanish, Portuguese, Simplified Chinese and Traditional Chinese. However, the subject of the digest email, and the initial block of text you supply for the top of the digest always appear exactly as you entered them. In a mixed-language environment this enables you to provide information that is suitable for all your users.
