Saving Copies of Messages

You can apply two disposal actions to a policy rule to save copies of messages detected by the rule.

To save copies of messages to an archive server, you need to set up an SMTP server configured with third party archiving software. You then configure a Relay To disposal action to forward messages to the server. Setting up such a server is beyond the scope of this help. See Using Dual Disposal Actions for information on the disposal actions with which you can use the Relay to disposal action.

  • Using dual disposal actions saves copies of messages after the policy is applied. You cannot use this method to save copies of messages before the policy is applied.

Configuring a rule to save copies of detected messages

To configure a policy rule to relay copies of detected messages to an archive SMTP server:

  1. From the Policy Center Home page, under Policy References, click Disposal Actions to display the Manage Disposal Actions page.
  2. On the Manage Disposal Actions page, click the Relay Servers tab to access the Relay disposal actions.
  3. Click the New icon, and enter the server and port details in the fields that appear.
  4. Click Add to add the disposal action to the list.
  5. From the Manage Content Rules page, select the content rule that detects the messages that you want to save. The Content Rule Usage page for the rule is displayed.
  6. Move the mouse cursor over the What to do area's disposal action, and click the Edit button.
  7. In the Secondary disposal action field, use the pull-down list to select the Relay disposal action that you added.

Saving copies of all messages delivered on a route

To save copies of all messages on a route that has a default Deliver this message disposal action:

  1. Use the previous procedure to add the Relay to disposal action to all rules on the route that deliver messages.
  2. Create an All email rule. In addition to the default Deliver the message disposal action, apply the disposal action you created to relay messages to your archive server.
  3. Add this All email rule as the last rule for the route. This ensures that messages that are not detected by any rules are saved.
